Interlibrary Loan Processes at DBL: Borrowing

Information about ILL processes at DBL.

Borrowing Checklists

  • claim requests by attaching the category for your name
  • review each request
    • check that patron information is complete and they are eligible (name, Bnumber, email address, current unblocked account)
    • check for open access availability of article/copy requests
  • enter email article/copy requests from the last 5 years into WS-ILL & copyright limit list (DulaneyBrowne Library > Documents > Interlibrary Loan > Copyrightmax.xlsx). Continue ordering unless it has exceeded the maximum. Go to Copyright Max purchasing if over the limit.
  • enter requests in WS-ILL
    • log on to WMS, navigate to Interlibrary Loan, Discover Items
    • search for the ISSN, ISBN, journal, or monograph title
    • identify the best match
    • add the custom holdings path by format (books, eserials, films, music etc.) and volume and/or year for serials and "go"
    • apply the correct constant data & patron information
      • verify that the correct copy/loan option is chosen
      • verify $0 maxcost and the note about conditional replies if they charge
      • verify that the patron ID is complete B+9 digits and email address is correct
    • choose "create request" (print requests for physical items that will be sent)
    • submit the request
  • log on to WMS, navigate to Interlibrary Loan, Borrowing Requests, Not Reviewed
  • review each new request
    • check that patron information is complete and they are eligible (link)
    • check for open access availability of article/copy requests
    • check that copy requests from the last 5 years have not reached the copyright limit (Copyright Max spreadsheet)
  • enter email article requests from the last 5 years into copyright limit list (link)
  • process & submit request in WS-ILL

  • navigate to the request & a screen with an option to add the custom holdings path by format (books, eserials, films, music etc.)
  • choose the appropriate format (and volume and/or year for serials) and "go"
  • edit the lender string if appropriate (move slow responders lower in the list, for loans, consider courier access)

    • verify that the correct copy/loan option is chosen

  • print requests if a physical item will be sent

  • process & submit request in WS-ILL

  • Log in to WMS, navigate to Interlibrary Loan
  • open Borrowing Requests
  • open In Transit
  • look for any items that are articles
  • click on the request number to open
  • download the article
  • email it to the patron's OCU email address with the copyright notice
  • mark the item as received

COPYRIGHT NOTICE

The copyright law of the United States (title 17, United States Code) governs the making of photocopies or other reproductions of copyrighted material. Under certain conditions specified in the law, libraries and archives are authorized to furnish a photocopy or other reproduction. One of these specific conditions is that the photocopy or reproduction is not to be "used for any purpose other than private study, scholarship, or research." If a user makes a request for, or later uses, a photocopy or reproduction for purposes in excess of "fair use," that user may be liable for copyright infringement.

  • items come in the mail and through the courier
  • for items we are borrowing:
    • match them to the request form printed when the item was requested (verify the ILL numbers match)
      • mark the forms T (TransAmigos Courier) or M (mail)
    • search ILL for the ILL number
      • add the ILL number as the temporary barcode if not already entered
      • mark check box to print book strap
      • mark as received
      • circle (or write in) the lending library symbol
      • add the due date (subtract at least 3 days for shipping)
      • attach the lending library paperwork to the form
      • complete pick up slip
    • batch print and attach bookstraps

When an OCU patron returns an ILL item that was borrowed from another library, it should be checked in at the DBL location at the front circ desk. When that happens, there will be a popup saying to route the item to WS ILL. The item is then placed on the ILL return shelf.

  • match the ILL paperwork from the file to the item
  • return any lending library paperwork to the item
  • remove our book strap and attach it to our ILL paperwork
  • add MB and the date to our paperwork
  • look up the item (by ILL number/barcode) in WS-ILL and choose "return item"
  • add date returned to the borrowing physical items spreadsheet
  • if mail:
    • cut out return address from our bookstrap and place in item (mailroom staff enters addresses and prints mailing labels for packages)
  • if TransAmigos
    • log in to https://tlm.amigos.org
    • look up the library by symbol
    • choose Generate QR code and then Print (allow popups)
    • print in batches, cut apart and insert in items
  • add paperwork to the complete/returned pile
  • see shipping items for next steps

Double check that items have been checked in at the WS-ILL location in WMS circulation. We are testing a new function that should do this automatically, but need to verify that it works as expected.

Check for Online Availability

Search for free access to articles published in the last 5 years.

Google the article title.

If you find a copy, download it and send it to the patron. (Send a link for HTML only options.)

For emailed requests, mark them "Fully Processed" and "found online" or "found DBL"

For requests through Discovery, close/cancel the request and add "found online" or "found DBL' to the Staff Notes.

We don't currently track statistics on these items, but these notes will make it possible to do so if needed at a later time.

Copyright Compliance

Enter all of the copy requests for articles published within the past 5 years into the Copyright Check spreadsheet on the DBL Staff SharePoint, in Documents > Interlibrary Loan.

We only submit the first 5 articles requested from the last 5 years of a journal title through WS-ILL. Any additional requests are reviewed and often purchased. (See Copyright Max Purchasing.)

 

It is easiest to add to the Copyright Check spreadsheet when entering the requests into WS-ILL. You can copy information once and paste twice.

NOTE: Only include copy requests actually submitted via WS-ILL. If an open access copy or library copy was found, there is no copyright compliance issue.
