- For items being lent:
- Stamp the request form with the PLEASE RETURN THIS FORM WITH ITEM stamp using the green ink pad.
- Place the form in the front cover of the book or score; inside the plastic covering of a dvd; rubber-banded to the cover of a cd or LP record.
- For borrowed items being returned:
- Make sure our bookstrap has been removed.
- Place the paperwork in the front cover of the book or score; inside the plastic covering of a dvd; rubber-banded to the cover of a cd or LP record.
- Package the items:
- Check the other library's notes on the paperwork to see if they have any special requests or directions.
- Package dvds, cds, and VHS tapes in boxes, even if they will go in a courier bag.
- If multiple items are going to the same destination, rubber-band them together inside the box or bag to help make sure none are overlooked by the other library upon receipt.
- For USPS items
- Use either padded mailers or boxes, depending on the size of the item(s), for books and scores (non-fragile items).
- Add packing material if needed so that the items don't shift.
- Tape up the box or bag securely.
- Obliterate any existing addresses or scan codes on the package.
- Lightly attach the shipping address from the ILL form on the outside of the package.
- Place the package in the Metered Mail wooden box in the mail room, or in front of it if there are too many packages to fit or if they are too large.
- For Courier items
- Package dvds, cds, and VHS tapes in boxes, even if they will go in a courier bag.
- Place items in the courier bags and add the courier label in the window, and zip the bag closed.
- Place the bag on the TAE Out shelf in the library mailroom.
- Count all items and add the number on the calendar on the bulletin board in the library mailroom. These numbers get reported to TransAmigos each month.
- USPS mail should be taken over to the campus mail room each weekday morning. Usually someone in the Acquisitions/Cataloging department does this.
- The Courier picks up on Monday, Wednesday, and Friday mornings.
SPECIAL NOTE FOR INTERNATIONAL SHIPPING: Any items sent internationally, including to Canada, will require a customs form. The USPS website has information on customs forms, including the option to complete the form online and print it.
